TERMS & CONDITIONS

Registration

  1. All information provided by a participant in the registration form must be true and accurate.

  2. Participants aged 18 or below must obtain consent from a parent/guardian. Participant’s age is calculated as at 14th December 2025.

  3. Upon submitting his/her application, an applicant declares that he/she agrees to and accepts these Event Terms & Conditions, the Official Rules and all other rules and regulations which may be adopted by the Organizer from time to time. The Organizer will charge an administrative fee of HK$100 for any changes to a participant's personal data or category after submission of the application.

  4. If participants provide incorrect information, fail to submit application form & pay for the entry fee, or fail to follow correct enrolment procedure, the Organizer reserves the right to reject their enrolment.

  5. Once the application is accepted, the application fee is non-refundable & non-transferable under any circumstances. A confirmation email will be sent to the registered email address within 3 working days after the Organizer receives the registration. If the confirmation email is not received as expected, please contact the Organizer immediately (Email: worldvisionhk.g6k@gmail.com; Phone: (852) 3611 0324 / 5243 0520).

  6. Repeated applications for the same race will be treated as a single application. Additional application fees paid will not be refunded or transferred to another applicant or race. Submitted application information will not be returned.

  7. Late or on-site registrations will not be accepted.

  8. The Organizer reserves the right to limit and refuse any enrolment and to contact applicants to verify their registration details.

  9. The Organizer reserves the right to close the registration any time, whether before or after the registration deadline specified, without prior notification.​​

Rules & Regulations

  1. Participants must comply with the event rules, conditions, and regulations.

  2. Participants must register according to the age requirements of each category (if applicable). Violators will be disqualified immediately and required to leave the race course or event venue.

  3. Participants shall indemnify and/or reimburse the Organizer in respect of any additional expenses or costs incurred by the Organizer arising from or in connection with any fault or action or behaviours of such Participants during participation in the Event.

  4. Participants understand and agree that participation in the Event is voluntary and at their own risk. Each participant agrees to absolve the Organizer and any sponsor and/or supporting organizations from any and all liabilities arising from bodily injuries, accidents, death or other losses during or caused by travelling to and from the event venue during the event, or for any other reason. The Organizer reserves the right to retain, add, modify, and interpret any rules or regulations. Any changes will be announced on the official event website.

  5.  If any category has fewer than three participants or teams, the awards for that category will be cancelled.

  6. Regarding the notification for race pack collection, we will inform participants via email three to four weeks before the event day.

  7. When collecting the race pack, please present the email (either a printed copy or an electronic version) to the staff for identity verification. If you are unable to collect it in person, you may authorize a friend or family member to do so on your behalf. They must present the email (printed or electronic version) to collect the race pack, and no additional authorization letter is required.

  8. The Organizer reserves the right to amend the rules and regulations. Should there be disputes, the Organizer reserves the right of final decision.​​

Health & Safety Advice

  1. All participants must ensure they are in good health and physically fit to participate in the event. If in doubt, please consult a doctor beforehand.

  2. Participants must understand the nature and demands of the event and confirm their health condition is suitable for participation, as the event requires physical exertion. The Organizer advises participants to monitor their physical condition during the event and stop immediately if feeling unwell, seeking assistance from on-site staff.

  3. The Organizer reserves the right to disallow or disqualify any person known or suspected to be physically unfit to participate in the event and such person must comply.

  4. Individuals who are pregnant or have chronic conditions, such as heart disease or high blood pressure, are advised not to participate in the event.

  5. The Organizer has purchased public liability insurance, but this does not include personal accident coverage. It is recommended that all participants purchase your own personal accident insurance and other relevant insurance according to your needs.

During The Event

  1. Participants should place their race bib visibly on the front of their top clothing with the participant number clearly displayed.

  2. Participants must keep their own race bib securely.  The Organizer will not reissue a new race bib under any circumstances.

  3. Participants must enter the start zone on time, or they will be disqualified from the race competitions.

  4. Participants must not harass or impede other participants from conducting activities / competitions. Offenders will be disqualified and requested to leave the event venue.

  5. Participants must not use any external auxiliary equipment in the race (except prosthetic limb(s)).

  6. Cheating is prohibited, and offenders will be disqualified upon discovery.

  7. If first aid assistance is needed, please inform the race and event staff or call the emergency contact number printed on your race bib.

  8. Dangerous goods (i.e. offensive weapons, flammable, explosive agents or materials/objects which obstruct other participants, etc) are strictly prohibited. Violators will be asked to leave the course immediately, and such cases may be reported to the Law Enforcement Agency.

  9. Participants must retire and leave the racecourse immediately if requested by any race officials, medical staff, race director, referees or security staff.

  10. Participants are encouraged to bring their own water bottles to reduce plastic consumption.

  11. Participants must keep the venue clean, take their own rubbish with them, or dispose of it in the trash recycling bin.

Route Alteration

  1. The Organizer reserves the right to change or alter any parts of the running route before and during the race without prior notice due to unexpected road conditions or emergencies.

  2. A race may be suspended for emergency or any other incidents during the race.

  3. In the event of emergency or any incident, participants must follow the instructions of race officials or any law enforcement officers on-site.

Luggage Storage

  1. A FREE one-time luggage storage service will be available for all participants at the event venue on event day.  Participants are advised not to deposit valuable items.

  2. Only luggage bags and tags provided by the Organizer may be used. No luggage bags or tags will be provided on race day.

  3. The Organizer is not responsible for any loss or damage to any item in your luggage. ​

  4. The luggage storage deposit services will be available from 7:00am - 12:30pm.  Unclaimed luggage will be handed over to the Organizer.

Result Announcement

  1. All prizes will be awarded according to the Official Time (Gun Time). Net times are for personal reference only.

  2. Race winners will be required to present their identification (e.g., HK identity card, passport, or Registration Card for People with Disabilities) for verification.

  3. On the race day, the winners list will be announced on-site.  Appeals on the winners list must be submitted within 15 minutes after result announcements by filling in the form and handing HK$100 deposit to the result announcement centre located at the main stage. The deposit will be forfeited if the appeal is not successful or is withdrawn. The Organizer reserves the right not to entertain any dispute or appeal submitted after the deadline.

  4.  In case of disputes over prizes and positions, the Organizer retains the final decision.

  5. For participants with no entitlement or potential entitlement to awards, any disputes regarding their personal result must be submitted in writing within 7 days after the results are announced on the official website.

  6. An E-certificate of Achievement will be issued to all qualified participants with an Official Time in all races and categories. Participants who do not start the race according to the designated start time and assigned registered race category, or who do not complete the race, will not be entitled to any awards or certificates.

Personal Information Collection Statement

Your personal data will be kept strictly confidential by World Vision Hong Kong (WVHK) for communication purposes and handling activity-related matter (if applicable).  We would make use of your personal data to keep you updated on our ministry and fundraising activities.2, If you do not wish your personal information be used, please indicate when providing information, or email to worldvisionhk.g6k@gmail.com, with subject "unsubscribe".

Video and Audio Collection and Use Agreement

Participants understand and agree that during the Event, I and/or my Guest(s) may be photographed and/or video recorded by WVHK. Participants understand that such photographs and/or video recordings may be used, reproduced, edited, combined with other materials, publicly displayed or otherwise exploited by WVHK, perpetually, at no expense and with no attribution in any media for promotional, advertising and/or other lawful purposes in any such form as WVHK may consider appropriate from time to time (including but not limited to in printed and electronic materials, display stands, marketing booklets, video publications). Participants agree and authorize WVHK to share the above photos and/ or videos taken at the event for marketing usage and agree to waive any right of inspection or approval associated thereto.​

 

In addition, Participants understand and agree that WVHK’s right to take photographs and video recordings at the Event is subject to the following rules and conditions:

  1. The photos and video recordings taken are intended for personal or private use and will not be used for sale;

  2. Unnecessary close-ups of any individuals should be avoided at all times; and

  3. Photos and video recordings that could reasonably cause embarrassment or distress should be avoided at all times.

  4. If Participants no longer want WVHK to use my image / sound clip taken during the Event, Participants can email WVHK at worldvisionhk.g6k@gmail.com to inform World Vision to conceal his/her identity by hiding his/her face, not using his/her voice, or not to make any further use of his/her image, voice and /or story.

  5. The Organizer reserves the right to all photos of the Event for future use and references.

Adverse Weather Arrangements

  1. The event will be cancelled if No. 8 or above typhoon signal, red or above rainstorm warning signal is in force at 08:00am on the day before the event (13th December 2025)

  2. The event will be cancelled if No. 3 or above typhoon signal, red or black rainstorm warning signal is in force at 00:00am on the event day (14th December 2025)

  3. If any of the above weather warning signals are issued or adverse weather occurs during the race, the Organizer reserves the right to amend the race route or cancel the event. Participants must follow the official instructions on-site.

  4. If the event is cancelled due to the above warnings, all registration fees are non-refundable. Proceeds, after deducting expenses, will support World Vision Hong Kong’s Clean Water projects.

  5. Please stay tuned with the updates on the event website and Facebook Page.​​

Event Cancellation and Refund Policy

  1. The Organizer reserves the right to postpone, cancel or shorten the event if any of the following situations occurs:
    a) Adverse weather conditions
    b) Landslides, rock falls or hill fires along the course ;
    c) Protests or blockages along the course ;
    d) Infectious diseases, pandemics, new coronavirus diseases, or other similar infectious diseases ; Hong Kong SAR government policies caused by COVID-19
    e) Force majeure, i.e. due to occurrence of incidents that are beyond the control of the organizer and which renders it impossible, unsafe or impractical to hold the event. Force majeure includes but not limited to acts of God, war, hostilities, rebellion, revolution, riots, strikes, disease outbreaks, or acts/threats of terrorism.

  2.  If the event is cancelled under these circumstances, no refund of the entry fee will be provided.

  3. Any temporary changes or cancellations related to the competition/event will be subject to the announcement on the event website.

  4. The Organizer reserves the right to make temporary changes or cancellations of the event.

*In case of discrepancies between the English and the Chinese versions, the Chinese version shall prevail.*
